Terms & Policies
REgistration Policy:
In order to register for any Spartan all members must submit a completely filled out waiver, registration form, and provide in-person payment in full prior to the commencement of the program. If any one of the items mentioned above are missing the registration is not complete and Spartan Staff may not be aware that you or your child is partaking in the activities and may not be prepared to provide you with the service advertised.
Registration Steps:
1. Please fill out the Registration Form and Waiver . Submit them in person or electronically to info@spartangymnastics.com
2. Provide Payment: We accept debit, cash, or cheques in person.
3 a. Registration can be done in person during operating hours.
b. Registration form, waiver and cheque payment can also be dropped off outside of operating hours in the external mail box.
CANCELLATION and Refund POLICY:
Spartan will ONLY be offering credit to members wishing to cancel their programs (camps and gymnastics classes). Electronic notice must be given 24 hours prior to your program to establish credit note on file. All approved cancellations will be subject to a $50 cancellation fee and value of classes attended or missed will be deducted. Registration and Insurance fees are not refundable.
Sock Policy:
In order to participate in the trampoline park activities in the Spartan District all members must wear Spartan’s anti-slip socks to ensure safety and foot grip on the slippery poly-propylene trampoline beds and nylon slack-lines. All members will receive a pair of Spartan socks at the beginning of each session prior to visiting Spartan District. (Please note this may not be the first day of class). If your child is absent for the first class please make your child’s coach or reception aware of this and they will provide you with a pair. If you forget to bring your socks you may purchase a new pair for $3 at the reception. If your child forgets to bring their socks the coach will provide them with a new pair. Please remember to settle-up during the time of the pick-up. Spartan District is a sports-entertainment part of Spartan Gymnastics. The next door space is not part of the gymnastics program and its visit is not guaranteed for every single class. Please make sure to bring a pair of Spartan socks for every class just in case the class is taken next door. Please note that Spartan socks are only required for the gymnastics space Spartan District entertainment complex and not the gymnastics space. Clothing and Earings:
All participants must wear comfortable and non-baggy clothing that will allow for free and non-restricting body movements. Long hair must be tied up. Participants must not wear loose articles of clothing , accessories or jewelry. Earings must be removed or taped before the start of the your program. The reception can assist your child in taping your child's ears.
Birthday Party Policy
Booking/Cancellation/ Change:
In order to book your birthday party we need to know the date of preference, the number of kids you are inviting and receive the $200 reservation fee. Please note that reservation fee is non- refundable. Party booking may be changed two weeks prior to the party date and is subject to a $100 surcharge. Changes or cancellations within two weeks of the party date are not permitted.
Make up classes:
We offer 2 make-up classes per session and they must be scheduled before the end of the current session. Make-up classes are granted only if you call and inform us that your child is not coming at least 24h in advance.
Moving fee:
A moving fee of 5% of the current session total might apply if class type, day, or timeslot is requested to be changed.
Summer Camp Policy
SAFETY POCEDURES:
Spartan staff will be required to regularly disinfect main contact surfaces in the office and the gym (90% ethanol), as well as, regularly clean all bathrooms. Campers and staff will be required to wash their hands regularly. Campers will be reminded to avoid touching their faces and maintain a reasonable distance from other campers. Campers will be divided into groups of 6-10 participants of similar age and/or skill and will stay in the same group for the duration of the week. A separate room will be reserved for each cohort of campers. One to two coaches will be allocated to each group of campers.
Campers will not be required to wear masks inside the gym, however, masks will remain optional. All visitors, parents and staff members will be required to wear a mask until this restriction is lifted by the health authorities. If you forget your mask, one will be provided to you at the reception.
Once again, for the safety of all participants, please do not bring your child for the camp if your child or anyone in your family is feeling sick or has a heightened temperature. Safety is our number one priority.
Spartan Gymnastics Advanced Program Monthly Enrollment Policy
Applies to students enrolled in a program with a two or more weekly classes.
Effective Date: September 1, 2026
Program Year: September 2026 through the end of the school year
1. Eligibility
The Spartan Gymnastics Advanced Program Monthly Enrollment Plan is available to athletes who:
are registered in two or more eligible classes per week;
have received any required coach approval for placement in the program; and
maintain an account in good standing.
Enrollment is subject to athlete readiness, class availability, staffing, scheduling, and Spartan Gymnastics program requirements.
2. Ongoing School-Year Program
The Advanced Program is an ongoing program beginning in September and continuing through the end of the school year.
Unlike programs previously offered on a session-by-session basis, this program is not divided into separate sessions. Once registered, the athlete’s enrollment will continue automatically from month to month until:
the enrollment is cancelled in accordance with this policy;
Spartan Gymnastics terminates the athlete’s enrollment; or
the school-year program ends.
Families do not need to register again for each month or for separate sessions.
3. Mandatory Initial Two-Month Commitment
Registration includes a mandatory commitment for the first two program months: September and October.
The parent or legal guardian agrees to pay the full tuition owing for both September and October, regardless of attendance, voluntary withdrawal, vacations, scheduling conflicts, illness, or the athlete’s decision to stop participating.
The following payments are non-refundable:
September tuition;
October tuition;
registration fees; and
insurance fees.
The earliest regular cancellation permitted under this policy is cancellation effective October 31, preventing the November 1 tuition charge.
4. Registration and Insurance Fees
Any applicable registration and insurance fees will be identified during registration.
Registration and insurance fees are separate from monthly tuition. These fees cover administrative processing, athlete registration, insurance, and related program costs.
Once charged, registration and insurance fees are non-refundable and non-transferable.
Cancellation of enrollment does not entitle the account holder to a full or prorated refund of registration or insurance fees.
5. Monthly Tuition and Recurring Payments
Monthly tuition will be charged automatically to the credit card or other approved payment method on file on the first day of each month.
Payments will be processed on or about:
September 1;
October 1;
November 1; and
the first day of each remaining program month through the end of the school year, unless enrollment has been properly cancelled.
By registering, the parent or legal guardian authorizes Spartan Gymnastics and its payment processor to charge the payment method on file for:
monthly tuition;
registration and insurance fees;
applicable taxes;
separately authorized program charges;
applicable NSF fees; and
any other amount properly payable under this agreement.
The account holder is responsible for keeping a valid and current payment method on file.
6. Cancellation Beginning in November
After completing the mandatory September and October commitment, the parent or legal guardian may cancel the athlete’s enrollment.
To prevent the tuition payment scheduled for the first day of the following month, a cancellation request must be received no later than 11:59 p.m. on the 14th calendar day of the current month.
Examples:
A cancellation email received on or before October 14 will cancel enrollment effective October 31 and prevent the November 1 charge.
A cancellation email received between October 15 and November 14 will cancel enrollment effective November 30 and prevent the December 1 charge.
A cancellation email received after November 14 will not prevent the December 1 charge. The cancellation will take effect at the end of December.
The athlete may continue attending scheduled classes until the effective cancellation date, provided the account remains in good standing.
7. Required Cancellation Method
All cancellation requests must be submitted by email to:
Requests submitted through another email address, by telephone, social media, text message, verbally to a coach or staff member, or through another method will not constitute cancellation under this policy.
The cancellation email must include:
the athlete’s full name;
the parent or legal guardian’s full name;
the athlete’s classes or program; and
the requested final month of participation.
The date and time Spartan Gymnastics receives the email will determine whether the cancellation deadline has been met.
Spartan Gymnastics will send an email confirming that the cancellation has been processed. The parent or legal guardian is responsible for retaining this confirmation.
Stopping attendance, advising a coach, removing a payment card, allowing a card to expire, or disputing a payment does not constitute cancellation.
8. Recurring Payment Authorization
By accepting this policy, the parent or legal guardian expressly authorizes Spartan Gymnastics to process recurring monthly payments on the first day of each month.
This authorization remains in effect until:
enrollment is properly cancelled;
the school-year program ends; or
Spartan Gymnastics terminates the athlete’s enrollment.
A cancellation request does not reverse or refund a payment properly processed before the applicable cancellation date.
9. Billing Concerns and Payment Disputes
All billing questions, alleged billing errors, duplicate-charge claims, payment concerns, and cancellation-related billing concerns must be submitted by email to:
The email should include:
the athlete’s full name;
the parent or legal guardian’s full name;
the date and amount of the charge;
a description of the concern; and
any relevant receipts or cancellation confirmation.
The account holder agrees to provide Spartan Gymnastics with a reasonable opportunity to investigate and address the concern directly.
The account holder agrees not to knowingly initiate a false, misleading, fraudulent, or bad-faith chargeback concerning a payment properly authorized and charged under this agreement.
10. Failed Payments and NSF Fees
If a payment is declined, returned, reversed, or otherwise unpaid, the account holder must promptly provide another payment method and pay the outstanding balance.
For the first NSF or returned-payment occurrence on an account, Spartan Gymnastics will waive the NSF fee.
For the second NSF or returned-payment occurrence, and for every subsequent occurrence, a $20 NSF fee will be charged for each failed or returned payment.
The NSF fee is in addition to the original outstanding payment and does not replace the account holder’s obligation to pay tuition or any other amount due.
Spartan Gymnastics may attempt to process the declined or unpaid payment again seven days after the original payment attempt using the payment method on file.
The account holder authorizes Spartan Gymnastics to charge the outstanding balance and any applicable NSF fee to the payment method on file.
Spartan Gymnastics may suspend the athlete’s participation until the full outstanding balance, including any applicable NSF fee, has been paid.
Repeated failed or unpaid payments may result in termination of enrollment and loss of the athlete’s place in the program.
11. Missed Classes and Make-Up Classes
Monthly tuition reserves the athlete’s place in the ongoing program and is not calculated according to the number of classes attended during a particular month.
Refunds, credits, or tuition reductions will not be provided for:
missed classes;
voluntary non-attendance;
illness-related absences;
vacations;
family scheduling conflicts;
statutory holidays;
months containing fewer scheduled class dates; or
stopping attendance before the effective cancellation date.
Not attending classes does not cancel the athlete’s enrollment or recurring payments.
Each athlete may receive a maximum of one make-up class per calendar month, provided that:
Spartan Gymnastics receives adequate advance notice of the absence;
space is available in an appropriate class;
the make-up class is approved by Spartan Gymnastics; and
the athlete is eligible to safely participate in the available class.
Make-up classes are not guaranteed and are subject to class capacity, coach approval, athlete level, scheduling, and program availability.
Unused make-up classes:
cannot be carried forward to another month;
have no cash value;
cannot be refunded or credited;
cannot be transferred to another athlete; and
cannot be used after the athlete’s enrollment ends.
A missed make-up class will not be rescheduled.
12. Program Schedule and Operational Changes
The Advanced Program is expected to operate from the beginning of September through the end of the school year.
Spartan Gymnastics may reasonably change coaches, training groups, class times, equipment assignments, or training locations where necessary for:
athlete safety;
staffing;
enrollment levels;
athlete development;
facility requirements; or
program operations.
Where Spartan Gymnastics permanently cancels a class and cannot provide a reasonably comparable alternative, the matter will be handled under Spartan Gymnastics’ applicable policies.
13. Athlete Conduct and Placement
Athletes must follow all safety rules, conduct expectations, attendance requirements, and coach instructions.
Spartan Gymnastics may move, suspend, or remove an athlete where reasonably necessary due to:
safety concerns;
inappropriate or disruptive behaviour;
failure to follow coaching instructions;
skill-level suitability;
unpaid fees; or
the proper operation of the program.
14. End of the School-Year Program
Enrollment will end automatically at the conclusion of the school-year program.
Enrollment in the Advanced Program does not automatically register the athlete for:
summer classes;
summer camps;
special programs; or
the following school year.
Separate registration and payment arrangements may apply to those programs.
15. Governing Law and Severability
This policy is governed by the laws applicable in the Province of Ontario.
Nothing in this agreement waives a right or obligation that cannot legally be waived.
If any provision of this policy is found to be invalid or unenforceable, that provision will be limited or removed only to the extent necessary. The remaining provisions will continue in full force and effect.
